Purpose/Mission

To organize fundraising opportunities to support the Shorecrest High School marching band and choir students as a Washington Cultural Exchange (WCE) delegation traveling to Ireland in March 2012. Fundraising events will help the students pay a portion of their trip costs; enable maximum participation; and develop a sense of community among the group.

Vision:

Participation in Dublin Dollars is voluntary. Students will have many opportunities to help earn the cost of their trip. All students who contribute 12 hours or more of fundraising activities will receive a credit toward the cost of the trip. The amount of the credit will be determined after all fundraising activities have been completed and accounted for, and may vary from student to student based upon their individual level of effort.

Trip Organization:

Washington Cultural Exchange (WCE) is a non-profit organization with a federal 501C3 status (tax ID #91-1391851), who has contracted with the Shoreline School District to plan and manage the trip.

Goals:

Raise as much money as possible by the end of February 2012 to help reduce the trip costs of as many students as possible.

Team boundaries:

Dublin Dollars is a volunteer group that is independent from Shoreline School District and is not an official Shorecrest group. All proceeds from Dublin Dollars fundraising events go directly to student accounts at WCE at the end of the fundraising period (February 2012). Board members steer group decisions, including approval of all fundraisers and division of the fundraising proceeds.

Roles and responsibilities for each Board member:

Chairperson: sets agendas, runs meetings, checks on assigned actions, signature authority on bank account and any and all agreements with businesses or groups contracting with Dublin Dollars for fundraising events.
Treasurer - tracks all funds in and out, signature authority on bank account
Secretary – writes meeting minutes and posts them to web site
Business Liaison – contacts businesses for money-making opportunities, seeks donations for rewards, materials for other fundraisers, etc.
Publicity – designs materials for fundraising events and web content, resource for fundraising chairs
Webmaster – designs and maintains web site
Hours coordinator - works with fundraising chairs and treasurer to track everyone's hours
Booking agent – coordinates musical groups for entertainment if applicable
Communications/Mail List coordinator – Maintains Google group/email list, coordinates communications with volunteers
Grant writer – research possible grant sources & writes grants
Scholarship coordinator – investigate rules about scholarships to help determine if scholarships should be provided
Student representative (4 positions) – represent students in all Board votes & decisions, and communicate Dublin Dollars activities back to students. Positions are held by students.
Fundraising chairs (rotational) - one per project, investigates, coordinates and executes individual fundraising events; reports progress to Board. Can execute contacts and agreements with outside parties related to event, however final decisions and signature must be obtained from Board Chaiperson.

Sponsors and Stakeholders:

The board is responsible to Shorecrest High School band and choir students and their families who voluntarily participate in fundraising and meet the minimum hours requirement for payout.

Decision making:

Final decisions are made by the board. A quorum of the board is required for valid decisions (50% of current board + 1). Each board position is worth one vote. Board may consult stakeholders via general meetings and surveys.

Communication:

Most communication is by group meetings and email; email can be used to vote by proxy. Information about Dublin Dollars activities is also available on the web site (ADD URL) and Facebook page (SHORECREST SCOTS IRELAND TRIP 2012). The DublinDollars Google group will be used for posting and sending emails.

Resources required:

Supplied by donations and fund proceeds. All outward payments must be approved by the board.

Payout Model:

Proceeds will fall into one or more of three funds: (1) Based on ‘buy-in’ fundraisers; (2) based on volunteer hours worked; and (3) general fund for direct donations, evenly distributed to all students.
